Hire Charges
Wedding room hire, deposits and minimum charges:
Room Hire:
Non-members hiring one of our rooms pay a room hire charge.
Roffen Club members do NOT pay a room hire charge.
There is NO room hire charge on Wedding Packages or Special Offers, it is included.
Deposits:
Clients pay a deposit in order to secure the date (including Roffen Club members).
Until a deposit is paid the club reserves the right to let that date to another client.
Deposits are not transfereable or refundable.
Minimum Food Charges:
1. Catering for all events at The Roffen is supplied by the club and we do not allow clients to provide their own food. That being said we are very flexible and can provide more or less anything you want for your event.
2. Most events involve Catering and we do have Minimum Food Charges which vary according to the the importance of the various nights (i.e the minimum food charge for a Saturday is higher than a weekday).
3. These Minimum Food Charges are negotiable for certain types of event, and especially for events held at short notice.
4. The Minimum Food Charge does not apply to Wedding Packages, for Packages there are a minimum number of guests.
The Roffen Suite
Room Hire:
Non-Members: £200 for the whole Suite, reducing to £100 for smaller functions
No hire charge to Roffen Club members.
Deposits:
Saturday £500 - Friday £400 - Otherwise £150
Deposits are paid by Members & Non-Members
Your Deposit is deducted from the final balance, due 28 days prior to your event.
Minimum Food Charge:
Saturdays £900 - Fridays £400 - Thursdays £300 - Otherwise £200
We may reduce on the Minimum Food Charge for certain types of events or for events booked at late notice.
The Minimum Food Charge does not apply to Wedding Packages, for Packages there are minimum numbers of guests.
The Members Club Lounge
Room Hire:
Non-Members: £100
No hire charge to Roffen Club members.
Deposits:
Friday & Saturday £150 - Otherwise £100
Deposits are paid by Members and Non-Members
Your Deposit is deducted from the final balance, due 28 days prior to your event.
Minimum Food Charge:
Non-Members: Friday & Saturday £300 - Otherwise: £100
There is NO Minimum Food Charge for Roffen Club members hiring The Members Lounge.
We may reduce on the Minimum Food Charge for certain types of events or for events booked at late notice.
Please read these TERMS & CONDITIONS OF HIRE before paying your deposit.
Payment of the deposit commits you to a legal contract and if you cancel your booking you will lose your deposit.
If the cancellation is within 16 weeks of the event there will be an additional charge to cover the loss of profits.
If you have to cancel then it must be in writing to The Roffen Club and is only valid on written acknowledgement, so if you cancel, make sure we write back.
To make a booking and plan your event:
1. Phone us to discuss available dates and to make a provisional booking.
2. Pay the deposit quickly, ideally within a day or so, as provisional bookings do not bind the club in any way.
3. Come in and chat to our managers about the details for your event, have a look around, try our food.
4. At any time between booking and your event, call us to discuss your needs - we are here to help.
4. Four weeks prior to the day confirm your final numbers, confirm the final details and pay the balance.
Terms & Conditions of Hire:
DEPOSITS are required to confirm a booking. Provisional bookings do not bind the club in any way, this means that we may let your date to another client if you have not paid the deposit. Deposits are not returnable or transferable if you later cancel and payment of a deposit denotes acceptance of all these terms & conditions.
FINAL PAYMENT is required one month prior to the function date.
FINAL NUMBERS One month prior to the event. Minor changes should be notified not less than 48 hours prior to the function or 3pm on Thursday for Sun/Mon functions.
CANCELLATION will incur a separate charge to cover loss of profits and will be a percentage of the MINIMUM FOOD CHARGE above. Less than 16 weeks: 50% - Less than 8 weeks: 75% - Less than 4 weeks: 100%.

BEHAVIOUR of guests is the responsibility of the client and the club is obliged to abide by the licensing laws. If the club has to restrict or close the function for any reason associated with its licensing law obligations then there is no liability on the club or any refunds to the client.
